This privacy policy sets out the personal data collected by Velarozone, the purposes for which it is used, the recipients to whom it is disclosed, the periods for which it is retained and the rights available to you. It applies to the enquiry forms, the planning tool, the chat assistant, call bookings, the newsletter, email and WhatsApp correspondence, document upload links, the client portal, quotes, Engagement Letters, invoices, and the analytics and advertising tools described in the cookie policy.

1. Controller

1.1 Velarozone, the brand of Velarozone For Business men & women Services L.L.C S.O.C, a company licensed by the Dubai Department of Economy and Tourism (DET), licence no. 1653139, is the controller of personal data collected through this website and the services to which it gives access.   • (b) online orders: the services selected, the price displayed, the status of the order and of payment, and a record of acceptance of the terms and conditions (date, time, IP address, browser and wording version displayed). Card details are processed by our payment provider and are not stored by us;
  • (c) enquiry information: business activity, target markets, ownership, staffing plans, timing and any notes submitted;
  • (d) planning tool responses;
  • (e) technical data: IP address, device and browser type, referring page and pages viewed;
  • (f) chat conversations: messages submitted to the chat assistant on this website and the replies given;
  • (g) bookings: the time selected and the details provided when booking a call;
  • (h) correspondence and documents: messages sent to us by email or WhatsApp, and documents uploaded through a secure link issued by us;
  • (i) engagement and billing records: quotes, the Engagement Letter accepted (with the date, time, IP address and browser recorded with the electronic signature), invoices and payment records;

  • (k) advertising and referral identifiers: where you arrive from an advertisement or referral link, the identifier appended to the link (including gclid and fbclid), the campaign and the landing page, used to attribute enquiries to advertising or referrals.

3. Submission of documents

3.1 Passports, bank statements and other identity or financial documents shall be submitted only through the secure upload link issued by us or through the client portal, and not through the chat assistant or the enquiry form.

4. Purposes and legal bases

4.1 We use personal data to respond to enquiries, prepare initial assessments, coordinate applications you instruct us to prepare, process and fulfil online orders, retain evidence of acceptance of our terms, deliver and invoice engaged work, meet our record-keeping and anti-money-laundering obligations, send newsletters to subscribers, measure the effectiveness of advertising, and improve the website.

4.2 The legal bases are: the performance of, or steps preceding, a service agreement, for enquiries and engaged work; compliance with legal obligations, for record-keeping and anti-money-laundering checks; and consent, for newsletters and marketing messages.

4.3 For analytics and advertising measurement, we rely on consent where the law of your location requires it (the European Union, the European Economic Area, the United Kingdom and Switzerland) and elsewhere on our legitimate interest in understanding how the website is found and used. You may object at any time by selecting Decline in the cookie banner.

5. Recipients

5.1 We disclose personal data to the service providers listed in clause 5.4, which operate parts of our service on our behalf, and, only on your instruction, to authorities, free-zone registries, banks, licensed institutions and professional advisers involved in your matter.

5.2 We may disclose personal data to Velarozone's affiliated companies (entities that control, are controlled by, or are under common control with the Velarozone entity with which you contract) where they deliver part of the services, for the same purposes and subject to the same protections as this policy.

5.3 We do not sell personal data. Service providers act on our documented instructions and are bound by confidentiality obligations.

5.4 The service providers are:

  • (a) payments: our card payment provider, which processes card payments, and, in the event of a payment dispute, your card issuer;
  • (b) hosting and data storage: Vercel, which hosts this website, and Supabase, which hosts our database and file storage;
  • (c) email and messaging: Resend, which sends and receives our email, and Meta Platforms, which carries our WhatsApp messages;
  • (d) bookings: Google, whose calendar schedules booked calls;
  • (e) chat assistant: an AI model provider, Anthropic or OpenAI, which receives the text entered into the chat in order to generate the reply;
  • (f) analytics: Google Analytics, Microsoft Clarity and Yandex Metrica, which measure website use as described in the cookie policy; and
  • (g) advertising: Google Ads, Meta and OpenAI, which measure whether a visit originating from their advertisement resulted in an enquiry or booking. Where an email address or telephone number is provided in an enquiry or booking, it may be shared in hashed (irreversibly scrambled) form with advertising platforms we use, including Google, Meta and LinkedIn, to match the enquiry to the advertisement.

6. International transfers

6.1 Most of the service providers listed in clause 5.4 process data outside the United Arab Emirates, principally in the United States and the European Union, and, for Yandex Metrica, in Russia. Data transferred outside the UAE is transferred under the provider's contractual data-protection terms and is limited to what the relevant purpose requires.

7. Retention

7.1 Chat conversations that do not result in an enquiry are deleted automatically after twenty-four (24) months of inactivity.

7.2 Other enquiry records are retained for as long as required to respond and follow up, and are deleted on request.

7.3 Order, payment and terms-acceptance records are retained as client records. Client records are retained for the period required by applicable UAE record-keeping and anti-money-laundering rules.

7.4 Newsletter subscription data is retained until you unsubscribe.

8. Your rights

8.1 You may request a copy of your personal data, request its correction or deletion, object to or request restriction of certain processing, and withdraw consent to marketing at any time, by writing to us at the contact details in clause 1.2. We respond within a reasonable period.

8.2 You may unsubscribe from the newsletter by the link in any issue, and change your analytics and advertising preference as described in the cookie policy.

9. Security

9.1 Data submitted through this website is transmitted over an encrypted connection and stored subject to access controls. Identity and financial documents shall be submitted only in accordance with clause 3.1.

10. Changes to this policy

10.1 We update this policy when the categories of data collected, or the recipients of that data, change. Last updated: 26 October 2026.
